Guide
Teams and people
A workspace is your business's account: its templates, uploaded pictures, plan and credits. People are the individuals who sign in to it. Teams are groups inside the workspace that keep templates apart — Finance and Sales, say — so that someone in Sales does not see Finance's documents.
If you work alone, you can ignore all of this: you are the Owner, in the default team, and see everything.
Ristmark is for business use: invite colleagues and contractors who work for your business, not private individuals.
Where to find it
Settings → Teams & people. The page is shown to Owners and Admins; other people do not see it. It has three parts: Teams, People and Invite someone.
The four roles
| Role | Sees | Can do |
|---|---|---|
| Owner | Every team | Everything, including the things only the owner does: plan and billing, credits, API keys, the danger zone (erasing the workspace). One owner per workspace, shown with an "Owner" badge; the owner's role cannot be changed here |
| Admin | Every team | Manage people and teams (invite, change roles, move and remove people, create and delete teams), plus everything a Manager can do. Not billing, credits or API keys |
| Manager | Every team | Work with templates, and delete and restore templates and saved recipes |
| Member | Only the teams they are in | Upload, migrate, review, edit, preview and generate documents. Cannot delete templates |
"Member" is the safe starting role: someone can do the day-to-day work, but cannot remove anything. Only Owners and Admins see the Teams & people page; billing pages, credits and API keys are the Owner's alone.
How teams keep templates apart
Every template belongs to one team. A Member sees the templates of the teams they belong to and nothing else. Owners, Admins and Managers are assigned to the whole workspace and see every team's templates.
- A Member who is in no team sees no templates at all. Make sure everyone you invite is placed in a team.
- Every workspace has a Default team, which cannot be deleted.
- An API key is tied to one team as well: it can only reach that team's approved templates (see API keys).
- A new key you create in Settings belongs to the Default team.
Teams
The Teams table lists each team with the number of people Assigned and of Templates in it.
- Add team: type a name under New team name and press Add team.
- Rename: opens the name in place; Save or Cancel.
- Delete: asks where to put what the team holds. Everything in it — documents, files, past migrations — moves to the team you choose. Active API keys cannot move with a team: revoke them and create new ones in the destination team first, or the delete is refused. Choose "Delete only if it is empty" if you want the deletion refused unless the team is empty. The Default team has no Delete.
People
The People table lists everyone with their email, Role and Teams.
- Change a role: pick Admin, Manager or Member in the Role column. The owner's role is fixed.
- Move someone to another team: pick the team in the Teams column. For Members this replaces their current team. Owners, Admins and Managers show "Every team" and have no team to change.
- Remove: asks "Remove this person from this workspace?" Their role and their place in a team go with them. The templates they made stay with their teams. Choose Keep to cancel.
Inviting someone
- Under Invite someone, enter their email address.
- Pick a Role (Member, Manager or Admin) and a Team.
- Press Create invitation.
We email the invitation, and the page also shows you the link, so you can send it yourself. That link is shown once — it is the only copy. The invitation works once, for that email address only, and expires after 14 days. If the email could not be sent from this deployment, the page says so in a warning: the invitation exists, but you must send the link yourself.
Open invitations are listed with their role and expiry date. Revoke cancels one that has not been used.
Owners cannot be invited: ownership is transferred, never handed out by an invitation.
Variations
- A small agency. You are the Owner; add a Member for each designer in the Default team. No other setup.
- Two departments. Make a team per department. Invite each department head as a Manager (a Manager sees every team, like an Admin; use Member if they should only see their own team), and everyone else as a Member in their department's team.
- An accountant who only needs to look. There is no read-only role. Invite them as a Member of the one team whose templates they need, and remove them when the work is finished.
If something looks wrong
- A colleague cannot see a template. They are a Member and the template belongs to another team, or they are in no team. Move them to the right team in the People table.
- A colleague cannot delete a template. Deleting needs the Manager role or above.
- The invitation link does not work. It has been used, it expired after 14 days, it was revoked, or it was opened by a different email address. Revoke it and create a new one.
- I cannot find Teams & people. It is shown to Owners and Admins only. Ask the Owner to change your role.
- Delete team refuses. "Delete only if it is empty" only works for an empty team; choose a team to move everything to instead.
- I cannot change my own plan or create an API key. Plans, credits and API keys are the Owner's.
Ristmark is not offered to businesses established in the United Kingdom at launch; whoever signs up confirms that their business is not.
